AP8 Academy – Refund, Cancellation & Legal Disclaimer Policy
At AP8 Academy, we are committed to delivering a safe, enjoyable and high-quality coaching experience for all participants. By booking a place on any AP8 Academy camp, session, programme or event, parents/guardians agree to the following terms and conditions.
Refund & Cancellation Policy
Bookings
All bookings are confirmed upon receipt of payment and are subject to the terms outlined below.
Parent/Guardian Cancellations

All bookings are non-refundable.

If a participant is unable to attend due to illness, injury or unforeseen circumstances, AP8 Academy may, at its sole discretion, offer a transfer to an alternative camp, session or future event, subject to availability.

Requests for transfers must be submitted in writing to ap.8.services@gmail.com
Missed Sessions
No refunds, credits or partial refunds will be provided for:

Illness or injury.

Holidays or family commitments.
-
Transport issues.
-
Changes in personal circumstances.

Failure to attend all or part of a booked session.
Cancellation by AP8 Academy
Should AP8 Academy be required to cancel a camp or event, participants will be offered either:

A full refund of fees paid; or
-
A transfer to an alternative AP8 Academy event.
Adverse Weather
AP8 Academy camps operate in most weather conditions. Participants should attend with suitable clothing and equipment.
Where weather conditions make participation unsafe, AP8 Academy reserves the right to amend, postpone, relocate or cancel activities. Where a suitable alternative cannot be provided, AP8 Academy will determine any compensation or refund at its sole discretion.
Medical & Participation Disclaimer
Parents/guardians confirm that:

The participant is physically fit and able to take part in rugby and related sporting activities.

Any medical conditions, allergies, injuries or additional support requirements have been disclosed during the booking process.

AP8 Academy has permission to seek emergency medical treatment if a parent/guardian cannot be contacted.
Participation in rugby carries an inherent risk of injury. By booking and attending an AP8 Academy event, parents/guardians acknowledge and accept these risks.
Limitation of Liability
To the fullest extent permitted by law:

AP8 Academy, its directors, employees, coaches, volunteers and partner organisations shall not be liable for any loss, damage, injury, expense or claim arising from participation in any AP8 Academy activity, except where caused by proven negligence.

AP8 Academy accepts no responsibility for loss, theft or damage to personal belongings brought to camps or events.

Parents/guardians remain responsible for ensuring participants are collected promptly at the advertised finish time.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any liability which cannot be excluded under applicable law.
Photography & Media
From time to time AP8 Academy may take photographs and video footage for promotional, marketing and social media purposes.
Parents/guardians who do not wish their child to appear in photographs or videos must notify AP8 Academy in writing before the event.
Behaviour Policy
AP8 Academy reserves the right to refuse participation or remove any participant whose behaviour is considered unsafe, abusive, disruptive or detrimental to the enjoyment and welfare of others.
In such circumstances, no refund will be issued.
Data Protection
AP8 Academy will process personal information in accordance with applicable UK data protection legislation. Information provided during booking will be used solely for administration, safeguarding, communication and operational purposes.
Acceptance of Terms
By completing a booking, parents/guardians confirm that they have read, understood and accepted these Terms & Conditions, Refund Policy and Legal Disclaimer in full.
